as our next Administrator!

Vocal Alchemy's Administrator works closely with the Artistic and Executive Director, and supports and coordinates the efforts of volunteer leaders, to implement the operations of the organization. Duties include rehearsal management, concert production and box office, internal and external email communications, filing paperwork with funders and regulators, financial administration and bookkeeping, and volunteer recruitment and coordination.


As the ideal person for this position, you are organized, flexible, and a self-starter. You excel under pressure and have experience coordinating large groups and/or events. You love to collaborate with individuals and groups, using your skills to listen carefully, communicate clearly and respectfully, and provide direction to others. At your core, you have a strong desire to be helpful to the people around you.

This opportunity is open until filled, with an intended start date of August 1, 2022.


Main responsibilities

  • Rehearsal/Membership Administration: Planning and scheduling rehearsal venues and personnel, sharing announcements and answering members' questions at rehearsals and by email, collecting information and fees from members, preparing weekly email newsletters

  • Concert Production/Front of House: Overseeing ticket sales (direct/online), managing front-of-house, hiring and coordinating personnel, recruiting and supervising volunteers, preparing content for concert program, overseeing and implementing marketing strategies

  • Financial Administration: paying bills, making deposits, keeping books, preparing financial reports, reporting to funders and regulators, issuing tax receipts and assisting with annual audit

  • Other: writing grant applications, preparing documents, running errands, updating our website, supervising volunteers, assisting the Artistic and Executive Director as needed


What we offer

Vocal Alchemy is an inclusive organization with a strong supportive membership and volunteer base. You will have significant flexibility; the majority of required work can be performed at your time and place of choice. Weekly daytime meetings will be set at a mutually-agreeable time. We respect and support the other priorities in your life. Intense periods of work are offset by periods where less is required. There are opportunities to recruit and develop volunteers for delegating tasks, and significant opportunities for future growth in responsibility. We can pay $22-30 per hour, depending on your skills and experience.


What we ask

Our choir is busy from September through May. During this period, we need your time on Tuesday evenings, plus about six weekends. We need you to prioritize the choir in the days leading up to and during our concerts (usually three times per year). You’ll need a vehicle and your own electronic devices, and often work from your own space. We expect the work to take about 40-50 hours per month, condensed around concert times, and you’ll be an independent contractor.

Vocal Alchemy (VA) is a community choral organization in Edmonton under the direction of Jordan Van Biert.


Celebrating 20 years in 2022, VA is dedicated to bringing community members together to create something extraordinary. Our performances, often enhanced by the involvement of professional musicians, feature choral repertoire celebrating a rich range of cultural, historical and musical ideas.


Having navigated creatively through the pandemic, we are poised to begin a 2022-23 season highlighted by a grand-scale 20th anniversary production at the Winspear featuring a major new commission, and a collaboration with full orchestra.
